A concrete, step-by-step workflow for turning an exported customer CSV into a prioritized prospecting list, without special tools.
You almost certainly already have the raw material for a good prospecting list sitting in a CRM export: your customer list. Most teams treat it as a billing record, not a targeting input. Here's a concrete workflow for turning it into one, using just a spreadsheet.
Pull a CSV of current and past customers with whatever firmographic fields you have: industry, size, geography, deal size, tenure. Don't worry about incomplete rows, work with what's populated.
Not every customer is a good template for future prospecting, some are edge cases, small deals, high-churn accounts, or a bad fit that happened to say yes once. Flag your best 20-30% by whatever you actually care about, retention, deal size, expansion revenue, and work from that subset, not the full list.
Look at your flagged best-fit subset and note what repeats: a dominant industry, a size band, a geography cluster, a shared characteristic. This becomes your working ICP, derived from evidence rather than a guess.
Using the traits from step 3, search LinkedIn Sales Navigator, a business registry, or a company database for companies that match. This is the manual version of lookalike company discovery, slower than an automated pass, but it costs nothing and teaches you what a good match actually looks like before you consider automating it.
Don't just dump every candidate into your prospecting list, score it against the criteria from step 3 first (see firmographic scoring, or the ICP Fit Score Calculator for a quick pass). This keeps the new list from immediately re-collecting the noise you filtered out in step 2.
Bring the scored, prioritized candidates back into wherever your team actually works, CRM, outreach sequencer, whatever, tagged with their score and the fit rationale, so reps see why each account made the list, not just that it did.
This workflow has a shelf life, same as any manually built list, see My Target Account Spreadsheet Is Always Out of Date. Put a recurring block on the calendar to re-run it, or look at automating the steps that repeat exactly the same way every time: extracting patterns, finding lookalikes, and scoring.
Bring your criteria to a live call. We'll run a real scoring pass while you watch, not a slide deck.
